To send the roster do the following:

1. Go to reports and run a roster report sorted the way you want it (by name age, etc.)
2. When the report comes up click on that little briefcase on the bottom of the report screen.
3. Indicate that you want to save the report to a disk file (right hand list box)
4. In the left hand list box choose HTML 3.0 (draft standard)
5. Click OK
6. The system will want to write the file to a directory called Tmros~1 which will be underneath the main Team Manager directory. Let it.
7. Team manager will write a file called Default.htm in the Tmros~1 directory.
8. Rename the file to someting like SolecoRoster.htm and send as an file attachment with your normal e-mail program.

 

 

To prepare entry files for Best of the Rest and Championships do the following:

1. In Team Manager select Setup and the Course Conversions. At the top of the dialog box there is a box to enter the conversion factor to convert from yards to short course meters. Enter 1.094 - this factor is multiplied by a yard time to convert it to a meter time or a meter time is divided by the 1.094 to convert it to an equivalent yard time. (The 1.094 factor is from our rules).

2. Select Meets and set up the Best of the Rest and Championship meets. Set up Championships (Hanover) as a meter pool and Best of the Rest (Northampton) as a yard pool.

3. Select each meet and then select Entries. If you set up Championship and Best of the Rest meets in Team Manager last year copy the events as they are the same as last year. If you have never set up any Suburban League meets in Team Manager then you will have to enter each event. If you have a regular season meet set up you can copy the events from it for both Best of the Rest and Championships. Ignore the fact that the event numbers are different this does not matter. For Best of the Rest you will have to edit some of the events to match the event descriptions and you will have to add the two six and under events. You can ignore events that are not being swum (such as relays) at Best of the Rest. Team Manager will only export events that have entries.

4. Select Entries (either by event or by name) - usually easier to do by event. The event window will come up with a list of names eligible to swim the event. Their best time in the event will be shown. If the time has a (S) behind it that means it is a converted meter time. Double click on the swimmers you want in the event. (For Championships no more than three swimmers can be entered in each individual event - no limit for Best of the Rest). When you have finished with the entries for that event select Next Event.

5. The procedure for entering relays is a little different. You must first click on the Add Relay button. This will enter your "A" relay and it will display a list of swimmers eligible to swim in the relay. It will also display a time for the relay. This is a bogus time - computed by adding the four fastest individual time. You need to overwrite it with you actual entry time. Then select the swimmers and alternates you want to enter. Special note for the Crescendo relays - in the event setup the age group should be set to OPEN. In the relay entry screen the 1st alternate is the planned 5th swimmer in the relay. The Crescendo relay can have 5 alternates that is why we require the Crescendo relay entries and alternates to be submitted on cards at the seed meeting.

6. Points to remember - At Championships and Best of the Rest a swimmer must compete in his or her age group (swimming up is allowed for relays). A swimmer can complete in Best of the Rest if he or she is swimming no more than one individual event at Championships. At Championships a swimmer can compete in at most four events at least one of which must be a relay. A swimmer can be an alternate on multiple relays and the event does not count unless he or she actually swims that event. No Time entries are NOT allowed at Best of the Rest or at Championships.

7. After the meet entries are complete go to File - Export - Meet Entries. Select where you want the exported file of entries to go. (Drive A: to put on a floppy is suggested - a good idea to have a floppy disk backup even if you will be e-mailing the file). The Export Criteria dialog box opens next. Leave the "Use Actual Times (do not convert)" box UNCHECKED. For Championships select Yes on Export Relays for Best of the Rest select No. Then select the meet you want to export the entries for and click OK. The entry file will now be created. The file will have a name similar to Cfile01.cl2.

8. You should check that the file created contains all the events, swimmers and times as you wanted them. To do this go to the Reports menu in Team Manager and select COMMLINK/SDIF and then COMMLINK/SDIF by Event. Select the drive and directory where your entry file is and run the report. You should verify that the report runs properly and that the entries are the way you want. IF THE REPORT DOES NOT RUN THE FILE WILL NOT IMPORT INTO MEET MANAGER.

9. Championship entry files must be received by John Vernon no later than 4:00 pm on Saturday, July 20, 2002. They can be either brought/sent on 3.5" floppy disk to 7312 West Hillcrest Lane, Slatington PA 18080 or sent via e-mail to jevernon@ptd.net Best of the Rest entries are to be brought to the seed meeting on floppy disk with a hard copy printout of the entries.
